WHAT IS MYOB ESSENTIALS?

MYOB Essentials is easy-to-use online accounting software that's designed specifically for small businesses. Learn more about MYOB Essentials.

While getting your head around the accounting side of things can feel like a daunting task, we've broken all data points into simple sections to help describe how this amazing integration works.

Contacts

Stayonhire <-> MYOB ESSENTIALS</->
  • All contacts in StayOnHire require a:
    • Unique contact name (no duplicates); and

    • Contact type (Customer, Supplier, Customer & Supplier or Other)

  • Contacts send (to MYOB) automatically every 30 mins (on the hour and at the half). This can also be manually triggered by clicking the 'Sync Now' button in the bottom right-hand corner of the Contacts page
  • Issuing an invoice to an Contacts will automatically change their type
    For example: Issuing a new invoice to a 'Supplier' will change their contact type from 'Supplier' to 'Customer & Supplier'.

Payments

  • Payments recorded in StayOnHire, will be sent to MYOB Essentials
  • Payments recorded in MYOB Essentials, will not be sent to StayOnHire
  • Payments recorded cannot be deleted from StayOnHire once they have been sent

Note: This section refers to payments recorded as received in StayOnHire; not transactions (or revenue) processed by or through StayOnHire for your business

Accounts

  • Also known as 'Income Accounts' in MYOB
  • Your Accounts are automatically imported to StayOnHire upon connection
  • Default accounts can be set for all hire revenue in Settings > Connection > MYOB Essentials
  • Default accounts can also be set for individual asset's revenue in StayOnHire from Equipment > ROI
  • Income accounts can NOT be created or altered in StayOnHire, this should instead be done from MYOB Essentials

Tax Rates

  • Tax rates will import from Xero and replace StayOnHire's default tax options
  • Tax rates can NOT be created or altered in StayOnHire, this should instead be done from MYOB Essentials

Invoices

STAYONHIRE -> MYOB ESSENTIALS
  • Invoices are sent to MYOB Essentials once approved on the invoicing page
  • To edit invoices that have been approved and sent to MYOB, you will need to 'Void & Edit' it inside StayOnHire
  • Invoices sent via email in StayOnHire will be marked as 'Already Sent' in MYOB
  • Invoices created in MYOB Essentials will NEVER import to StayOnHire
    StayOnHire creates highly custom invoice data (that connects your machines/calendar/revenue) which will never be contained in MYOB invoice data alone; meaning, MYOB imports would send (potentially hundreds or thousands of) prior invoices issued by your business with incomplete data points

Disconnect MYOB Essentials

To disconnect MYOB Essentials from your StayOnHire account, head to Settings > Connections and click 'Disconnect'.
